Summary:
The Executive assistant provides direct support to the hospital Administrator.
Work performed requires a variety of clerical and organizational skills, knowledge of the hospital, the executive offices and the departments reporting to other department managers.
Independent judgment and problem-solving techniques are used to manage tasks, including planning, initiating and implementing administrative activities as assigned.
Manages confidential and sensitive issues across varied lines of interaction with the health care system.
Objectives:
Support the Administrator primarily and provide additional support to other departments, as directed, to ensure that company goals and objectives are accomplished.
Manage communication with employees by liaising with internal and external management on various projects and tasks.
Plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.
Responsibilities:
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf.
Maintaining comprehensive and accurate records.
Performing minor accounting duties.
Organizing meetings, including scheduling, sending reminders, and organizing budgeting when necessary.
Answering phone calls in a polite and professional manner.
Managing the administrator's calendar, including making appointments and prioritizing the most sensitive matters.

Preferred
Qualifications:
Healthcare administration 1 year experience (preferred).
Experience in overseeing budgets and expenses.
Experience in developing internal processes.
Travel:
Up to 35% travel per month - Sonoma, Marin, and San Francisco counties.
Safety Requirements:
Employees are responsible for all aspects of the hospital safety and health program including compliance with safety rules and regulations, remedying unsafe working conditions, and for continuously practicing safety while performing duties.
Sonoma Specialty Hospital policy prohibits employees with patient contact or those who prepare products for patient use from wearing artificial nails.
